MINUTES OF MEETINGS

OF THE

ORMOND WAR MEMORIAL ART GALLERY COMMITTEE

There were two preliminary meetings of the committee at the home of Mrs. Butts at which plans were discussed for the financial drive to raise funds for this project.

Those present Mrs. Butts, Chairwoman, Mr. Milligan, Mrs. Milligan, Dr. Juniper, Van Sickle and Coyne.

It was decided that Mrs. Butts and Dr. Juniper would handle the Ormond Beach collections and that the Ormond drive would be made by a special committee with Mr. Sam Cotterill acting as chairman.

It was decided to have plans drawn for the proposed building as soon as possible and an estimated cost of save? [sic] obtained.

It was decided to frame a special form letter covering the salient points of the proposed project, which was to be mailed along with a personal letter to prospective contributors of the project.

Five hundred such form letters were accordingly ordered from the printer together with a like number of regular letter heads carrying the name of the proposed corporation, i.e., The Ormond War Memorial Art Gallery, Ormond Beach, Florida.

It was agreed that we form a non-profit corporation as a matter or [sic] form and that the necessary information required by law for such action be compiled and made available for the attorney who was to do the drafting of the application for such a charter.

A combination receipt and membership card together with a detachable stub for the Treasurer’s records was adopted and five hundred such cards were ordered from the printer.

It was left to the chairman of the solicitations committee of Ormond as to the most advantageous method of distributing these form letters in Ormond.

Mr. and Mrs. Westberry offered to deliver these letters to every home (white) in Ormond along with the evening paper. It was agreed with rsic] Cotterill that the Westberry family be credited three dollars on our books as a contribution toward the general building fund.

Mr. Cotterill organized his committee and did a fine job of covering the town of Ormond in this drive.

TUESDAY, AUGUST 6, 1946

A special meting was called by Mrs. Butts for 7 p.m. at her home. Those present were Mrs. Butts, Mrs. Milligan, John Graham (City Attorney), John Milligan, Dr. Juniper, and Tom Coyne.

The first hour of the meeting was devoted to discussion of the proposed Corporation and it was decided to have Mr. Graham proceed to draft he [sic] request for such a charter, with the following officers to carry out the work of the organization until such time as new one were elected under the charter. Mrs. Harold Butts, Pres. Dr. Kerrison Juniper, V. Pres., John Milligan, Treas., Tom Coyne, Sec., L. 0. Van Sickle, member at large.

The necessary data was turned over to Mr. Graham with instruction to proceed as soon as possible with the request for a charter. Mr. Graham left at this point in the meeting for another engagement.

Dr. Juniper then gave a brief summary of the estimated cost of the proposed building and a summary of the gifts and pledges to date together with a list of names from whom we can reasonably expect financial assistance. After weighing the matter from all angeles [sic] it was declared advisable to proceed with the construction of the proposed Gallery as soon as the builder could do so. It was suggested that Coyne serve as chairman of the building committee which he agreed to do and to select his own committee. The Executive Committee voted unanimously to proceed with construction a Coyne was direct to so advise the builder Mr. Schilds. There being no further business the meeting was adjourned.
